Every tradesperson sends the same five types of messages hundreds of times a year. How you write them — or whether you write them at all — has a bigger impact on your business than almost anything else.
Here is a template for each one.
1. The quote follow-up
When to send: 4 days after sending a quote with no response.
"Hi [Name], just following up on the quote I sent over for [job description]. Happy to answer any questions or talk through anything. We have availability in [timeframe] if you would like to get booked in. Mike"
2. The payment chaser
When to send: 8 days after invoice, unpaid.
"Dear [Name], I hope you are well. I am writing to follow up on invoice [number] for £[amount] dated [date]. Could you please arrange payment at your earliest convenience? Payment details are on the original invoice. Please let me know if you have any queries. Kind regards, [Your name]"
3. The late arrival notice
When to send: as soon as you know you will be late.
"Hi [Name], I wanted to let you know I am running approximately [time] behind schedule due to [reason]. I should be with you by [new time]. I apologise for any inconvenience and I appreciate your patience. I will message again if anything changes. [Your name]"
4. The review request
When to send: 24-48 hours after job completion.
"Hi [Name], hope you are happy with the [job]. If you have a moment, a Google review would mean a lot to us — it makes a real difference for a small business. Here is a direct link: [link]. Thank you so much. [Your name]"
5. The job completion message
When to send: same day as job completion.
"Dear [Name], I am pleased to let you know that all works at [address] are now complete. The [description of work] has been finished to the agreed specification. Please find the final invoice attached. It has been a pleasure working with you and we hope to hear from you again in the future. Kind regards, [Your name]"
